Docman 7 Version History

Docman version 7 contains an online auto-update mechanism.  This allows us to quickly supply you with updates and program fixes without you having to install patches yourself from CD.

This service is free to all users holding annual software support contracts.  You will not be able to receive updates without a support contract.

This page describes updates/fixes that have been made with each new version.  Your current Docman 'system', version is shown at the bottom of the Administration Module screen

Please note, PCTI record when you download a software update. This information is used to check that you have a current maintenance contract and to update our records for the purposes of technical support.

 

Docman 7 updates

Version updates are available from the Docman 7 Admin module.  You may check for a new version at any time, download it and choose to install it at a later date. 

In order to install an update:

All users must be logged out of Docman. 

If running the GPASS clinical system, all users must close this down too (otherwise it will not be possible to update the 'Docman tab' within GPASS.

Disable any on-access virus scanning software before running in updates.  You may turn this back on once the update is complete.

Change – BC. The new Business Continuity module “Docman BC” is fully integrated into 71230. Docman BC is a bolt-on module to Docman providing access to Docman Documents and Clinical System data in the event of a Docman and/or Clinical System failure.  This initial release supports GPASS only although the other API capable clinical systems will be supported very soon.

Change – Client (Workflow). The “Re-route” and “Comment or Action” screens have been combined into one screen. Using the new setting in “Options|When marking as seen”, you may choose to use this dialog when clicking the “Mark as seen” button. Shortcut keys are assigned to all options to improve keyboard navigation. The new layout is also used in Batch Manager when creating new workflows.
Change – Client (Workflow). The type of workflow may be edited from “Send in Order” to “Broadcast to all” after the workflow has been sent. It cannot be changed from “Broadcast” to “Send in Order”.

Change – Client (Workflow). Patient name is added to the workflow list (in place of workflow status) against each workflow. Only applies to workflows that belong to the “patient” section.

Change – Client (Workflow). A new option added to “View and List” menu called “View Document Details” adds document details column to the workflow list. This new column shows document description, organisation, department and person (sender) information at a glance and although the column is not typically wide enough to show all information at once on the average screen, mouse hovering “pops up” the full details in a tool tip.

Change – Client (Workflow). Each “pane” on the Workflow screen is now re-sizeable and their positions saved using “Options|Save Default Layout”

Change – Client (Workflow). The View, Workflow List and Workflow Route panes can be extended to full screen height by single clicking on the white arrow icon on the right hand side of the heading. Clicking again will return the pane height to its original size. Alternatively double click on the heading title.

Change – Client (Workflow). New “Bulk Re-Route” option allows *all* workflows in the inbox of a selected to re-routed to another user. This action requires the appropriate security option to be added against the user profile. On moving, the user is prompted to enter a reason for the move which is audited against each document moved.

Change – Client (Workflow). New “Browse Documents” option allows quick access to all other documents associated with the currently selected document. This option has a keyboard shortcut of Ctrl+D.

Change – Client (Workflow).  Calling the reset workflow option now shows the re-route screen which allows the route to be modified.

Change – Client (Workflow).  Add comments to completed workflow functionality restored.

Change – Client (Workflow). “W/F Modified” audit entry now also shows list of recipients.

Change – Client (Workflow). Full Workflow route (list of recipients) shown within the audit trail from initial send through to any route changes.

Change – Client (Workflow). Clicking on a comment in the “Workflow Route and User Comments” pane now opens up the document history screen (comments only selected) with the comment highlighted. Previously, the individual comment was shown in a plain dialog.
Change – Client. A new “View in Workflow” option added to the Document menu allowing user to jump directly to the workflow screen with the chosen document displayed. This option is not available if the logged on user does is not in the recipient list.

Change – Client. The “select mode” menu is now shown by default with all options greyed out. Clicking select mode, enables the options. This has been added to aid new users finding features that rely on “select mode” being enabled.

Change – Client. New setting added to user system preferences to make new workstations default to maximised screen layout (MAXIMISED_DEF=1 or 0). Setting affects Docman Viewer, Batch Manager and Workflow screens. Existing workstations will not be affected as they will have already recorded screen sizes which take preference over the maximised default setting.

Change – Client. Change to Workflow / Message notification so that notification popups are based on last time checked rather than total number present in the inbox/intray.

Change – Client. Comment icon shown against a document if sms/email message sent against it.

Change – Client. Internal Docman messages can now be sent to multiple recipients.

Change – Client. Multi-delete possible on Internal Docman message list (previously had to open each message and delete one by one)
Change – Client. Move the setting for EMIS LV “eaccess” share to configuration from local registry (the latter is retained for override purposes)

Change – Client. Change to Synergy API filing sequence in order to bypass the new PDS box causing issues when filing due to patient’s registration details being incomplete (missing nhs number).

Change – Client (Messaging). On the Viewer and Workflow screens, an icon in the status bar is shown if the messaging preferences for a patient have not been set. Clicking on the icon enables selection of preferred messaging type including the ability to turn off messaging for the patient altogether. The messaging preferences dialog can also be accessed via the “Options|Messaging Options” menu item. This change only applies to sites that have external messaging (email/sms via nhs mail) enabled.

Change – Client (Maintain Lists). Department added as selectable field in “filing match” details.

Change – Admin. Remove “Managed Server Site Merge” from Admin HTML

Change – Admin. New setting added to User System Preferences to disable the manual patient synching option on the Admin menu. Facility requested by INPS for Managed Server Installs of Docman. The default setting is Y (synching enabled by default).
Change – Admin. Allow "Delete Workstation" even when user is still logged in (date of last login displayed in order to help user identify old workstations).

Change – Admin (Autobackup). User prompted to reset last backup date when performing a manual backup.

Change – Admin (Autobackup). All "started" sites are shutdown (preventing user login) 10 minutes prior to a backup. After backup completion (successful or not) all previously started sites are restarted. Should a site fail to start, use the “start-up a site” option in Admin. The feature does not effect the Scheduler application which remains running throughout.

Change – Admin. Multi-site operation now performs the same as the client when logging in. Additional information has also been added to the site list (Site ID, Description, PIN, 3rd Party Ref and Nacs code) to assist managed server operators selecting the correct site.

Change – Admin (Patient Sync). GPASS does not hold a separate field for mobile number so during the patient sync process, if a telephone number is identified as a mobile number (starting 075, 077, 078, and 079) it is also added to the mobile number field in the patient section allowing SMS messaging via the messaging module.

Change – Admin (Patient Sync).  New user setting for PCS sites to allows synchronisation to take account of an "Opt In/Out character" which can  appended to the mobile phone number in the clinical system (generally Y/N).  This can vary between sites and therefore is inactive by default.  The setting is stored in MSG|OPT_IN and MSG|OPT_OUT - single character specified for each.

Change – Admin (Patient Sync). Trailing spaces removed from Forename and Middle name during patient synchronisation for Vision.
Change – Admin. Workstation description field added to help administrators identify machines and their location. Workstation list now shows the workstation description (if specified) as well as the last user to log in.

Change – Admin. In order to prevent multiple instances of the Scheduler being started, the workstation configuration screen allows a machine to be identified as the scheduler machine (just like identifying a scanning or thin client workstation). When one has not been specified (e.g. an edt user upgrading from an earlier version), the first machine to run the scheduler is automatically flagged as the scheduling workstation. It is still possible to run the scheduler from any workstation via the main menu for the purposes of viewing logs.

Change – Admin. Prior to running “check for new version”, the site ID number (PIN) is checked in order to ensure that it is valid and is within a valid support agreement. If unable to update, the reason for failure is available to the PCTI technical support team.

Change – Admin. When auto-activating a site, the site details are displayed onscreen for confirmation. This enables engineers to double-check that they are entering the correct PIN when commissioning new sites.

Change – Admin (SBAB). The Service Based Backup is now the default backup type for all new EMIS LV sites. When configuring an API as EMIS LV - on closing the screen the user is asked if they would like to configure the auto backup service if not already set. If they choose to do this, it will delete the startup and desktop icons for autobackup and then launch the service control manager screen to allow configuration.

Change – Admin (SBAB). When starting Admin on the Docman server, user is warned if the service is not running. If the service is not configured it will launch the service control manager to allow configuration.
Change – Admin (Help Desk Utilities). If the document check indentifies files in the wrong physical file location, the user is given the option to move them to the correct folder.

Change – Scheduler (EDT). New profile option of “Check practice code” for each collection type in order to allow override of NACS validation on collection.

Change - Scheduler (EDT). Option in Outlook Email profile to capture documents from email body rather than attachment to mirror functionality already present in imap emails collections (nhs mail).

Change – Scheduler (EDT). Failures occurring during multi-document collections from EDT Host do not effect subsequent documents within the same transmission.

Change – Scheduler/Client (EDT). Autofiling/Workflowing options added to EDT profiles. Enables documents of a defined type to be automatically filed against a patient and workflowed onwards without appearing in batch manager. If a patient match cannot be found, documents will appear in Batch Manager as normal. Facility is particularly useful for OOH messages that are always sent to a designated OOH workflow Inbox.

Change – Scheduler (EDT). Added “EDT Interop” component (required for EDT Host connectivity) to update and built awareness into client update mechanism.
Change – Scheduler (EDT). “EDT Interop” component moved to Docman Programs Folder and security permissions applied in order to allow across network operation.
Change - Scheduler (EDT).  When configuring pdfcreator for tif file conversion, the autosavedirectory path is stored as a full UNC rather than containing drive letter.

Change – General. Maintenance expiry warning wording changed to properly reflect state i.e. "Will expire on" or "Expired on". OK button present on the dialog in addition to 10-second auto-close timer.

Change – General. Any temporary files (inc local error logs on database disconnection) are now written to the <wintempdir> drive rather than the root of the local drive and therefore should no longer cause issues with “locked down” windows profiles.
Change – General. Added a visible “Help menu” added to Batch Manager, Document Viewer and Workflow screens. F1 is and has always been available throughout Docman, this option has been added simply to draw attention to it.

Change – General. User passwords encrypted within database. Existing clear text passwords are encrypted as part of the update.

Change – General. All little used components and controls have been removed from the application and replaced with common alternatives. This has reduced the overall application installation footprint for client and server installs.

Change – Installation. Mysql ODBC install for client (and server) is called silently by installation package rather than during client configuration.

Change – Installation. When installing a “fat clients” at branch sites, the “slow branch” setting is enabled by default. In addition, the entire process has been streamlined in order to speed up installation.

Change – Server Config. Force user to specify the default support provider during server configuration.
Change – Upgrade. Restored previous functionality whereby Intellisense templates are merged with the existing manual filing templates rather than overwriting them.

Change – Update. When adding configuration options to the configuration table, a pre-write check is made in order to prevent duplications. Any potential duplications are skipped and logged.

Change – Update. On update failure, all programs are restored (including any deleted files) along with the pre-updated database.
Fix – Client (Workflow). Corrected issue where a user could be removed from a WF route even if the WF has been to them but is no longer in their in-tray. Whilst the audit trail is correct the “workflow route and comments” pane in workflow could have been misinterpreted.

Fix – Client (Toolbar). Corrected issue with “hide inactive folders” option. If a patient was loaded using the toolbar without documents, loading another patient with document doesn’t rebuild the folder list.

Fix – IS Template Builder. Corrected issue whereby following an upgrade from an early versions of Docman (pre v7) the patient section could be incorrectly identified. This resulted in IS templates being added against the wrong section in Docman.

Fix – Admin. When commissioning a new site (e.g. additional site on a managed server), the current system version is now read from the site configuration table rather then the registry.

Fix – Upgrade (v6-7). Error fixed in Non-Patient Conversion routine where it was possible for the progress bar to generate an “invalid property value” error.

Fix – Scheduler (EDT). EDT Host collected documents that failed to convert to tif (if specified) were acknowledged as being successfully received by the scheduler. Any non-printed documents are added to a rejection list which is posted back to the EDT Host for retransmission.
Fix – Scheduler (EDT). Corrected problem with event log where the error description wasn’t being cleared from previous error.

Fix – Scheduler (EDT). Prevent warning message caused by auto deletion of edt inbox content when incoming messages fail validation.

Fix – Scheduler (EDT) . Prevent tif files being “re-tiff’ed” if a EDT profile is set to convert all incoming documents to tif files.
Fix – Update. Fixed error message stating "server gone away" message during download of updates since 71225.  The error can be ignored (by clicking OK) allowing update download to continue.
Fix – Update. Invalid HTML characters are stripped from news file prior to adding to Client/Admin menu’s

Fix – Update. In the event that a failed update containing new tables, the new table files were not automatically removed as part of the restore process. A retry of the update would then fail due to “table already exists” errors.

Version Notes:

 

Due to the number of screen layout changes on the workflow screen, user defined toolbars will be reset to default when applying this version.  Users who use a custom layout will simply need to re-add any buttons post upgrade.

Fix - Reports.  Correct issue preventing running of reports module from main menu (effected some sites who upgraded to 71225)

Fix - Scheduler (Event Log).  Correct issue where event log was passing invalid error string even if routine was successful.
Fix - Client (Toolbar).  When searching sections only with items (i.e. Address Book) the search screen was unable to retain focus due to toolbar being forced "always on top" since 'Document Viewer' GPASS fix in 71225.

This minor update is required for NSS Labs pilot sites (Scotland only).  This patch version has also been used as an early opportunity to correct minor issues discovered post general release of 71225.  There are no database updates in this version.

Change - Client.  Integrated support call logging & tracking for PCTI support customers.  This feature enables calls to be logged from the Docman menu directly into PCTI's support management system.  Information can be exchanged between support and the user in real time without having to make a phone call.  Users are then able to track the progress of calls via this same option.  Please Note: This facility is not available to customers in Scotland (who are 1st line supported by Microtech) or users of Vision (who are 1st line supported by INPS).  For these customer, the support links in the 'Information' section direct users to the appropriate web page at Microtech or INPS.
Change - Client (Maintain Lists).  New User Access option in order to launch scheduler from Client.  The default is inactive for all users.  The Docman server ignores this setting since it runs the Scheduler.
Change - Client.  Last Successful backup date shown on main menu.

Change - Service Based Auto Backup.  For EMIS LV users who periodically experience failure to synchronise patients, we have introduced the ability to configure Auto Backup as a "windows service".  The PCTI support team have determined that some (but not all) LV systems close running network processes overnight causing the Docman scheduled auto backup process to end.  For further details, please click here

Change - API (EMIS LV & PCS).  Latest versions of EMIS API (2.1a) for PCS is distributed with this version.  Build numbers: 2008.4.3.1423.  LV API (2007.12.19.2) was not shipped due to change in functionality in GetAttachments preventing "Show Existing Documents" from working.  Hopefully will be addressed with a permanent solution in 71230.

Fix - Client (Batch Manager). Correct problem when identifying duplicate documents if same patient has had multiple documents with same details filed on the same day.  Duplicate doc checking was introduced in 71220 and can be disabled.

Change - Scheduler.  Context sensitive help added.

Change - Scheduler. Event Logging and Auditing (ELA) added to Scheduler enabling users to view and search a detailed history of all collections for a given EDT task. This supersedes the existing text log system for EDT collections.

Change - Scheduler (EDT). Docman Import provider added for EDT task type.  This feature allows automated importing of "Docman Export" files delivered to a specific directory.  Particularly benefits "Docman Exports" transmitted to Scottish sites electronically over eLinks.

Change - Server / Client Install.  If using a Firebird version of Synergy, ODBC driver installation is automatically launched.

Change - Client / Admin.  Support for Synergy versions using a Firebird database (in place of Interbase).  Synergy sites migrating from Interbase to Firebird should contact technical support for simple step by step instructions in order to reconfigure Docman.

Change - Client (Batch Manager). Integration with ELA means that EDT document entries are updated when filing so that a documents current whereabouts/status is visible from the ELA in scheduler.

Change - Client (Batch Manager). Confirmation prompt added to filing routine when the read-code filing screen is cancelled.

Change - Client (Toolbar). The filing option that allows filing of an open Word document, now filters out open documents created from within EMIS and Vision clinical systems.  This prevents users inadvertently selecting a wrong document when using this option.

Change - Client (Users). Added NHS Mail configuration against user details. This feature is currently disabled but will eventually allow individual users to send "user" messages via the Messaging module over NHS Mail.  It will be implemented along with full NHS Mail integration in the next version.  User messaging may be turned on or off on an individual user basis.
Change - (** New module Messaging). This is a new module that allows users to send external messages over NHS Mail to patients via SMS Text or Email.  This initial release is available to invited users only prior to the complete version which will be available to everyone in the next version.  Seamlessly integrated into the Docman client (workflow and document viewer), a user may add a comment to a workflow as SMS or Email message eg.  "Please contact the Surgery on 01977 66 44 88 to make an appointment with your GP".  All messages  are queued in the "Message Processor" (in Scheduler) which makes a connection using the practices' NHS Mail account and delivers the messages according to a preferred delivery schedule.  Messages are classed as "system" or "user" messages.  System messages are delivered via the practices' generic NHS Mail account and are those that do not require a response from the recipient.  User messages are sent using the NHS Mail account assigned to the Docman user which may or may not require a response.  User messaging is disabled by default in the this release but may be switched on at a practices request (assuming a license for messaging is present).  Please note, the ability to send SMS/Email messages depends on ability to sync Mobile and Email address information from clinical system and the presence in the clinical data.  All clinical systems allow extract of both fields via their API's apart from GPASS which currently only allows Email.  EMIS LV users must assign custom fields for Mobile and Email address which must be assigned in CLINICAL_SYS | EMAIL_FIELD_NAME and CLINICAL_SYS | MOB_FIELD_NAME. 
Change - Scheduler. In order to support the new "messaging" task type in Scheduler, all tasks can now be configured to run on an interval rather than at a specific polling time.  Where conflicting times exist, EDT tasks take priority.

Change - Client (Users). Email signatures may be recorded against user when user based messaging is enabled.

Change - Client (Maintain Lists). Added Filing Field Match options. These fields which are configured automatically as part of the update are used to determine whether a document matching specified criteria already exists when filing in order to reduce the chance of a duplicate document being filed.

Change - Client (Document Viewer). Prompt added to Document Export with the option
