Docman 7 Version History

Docman version 7 contains an online auto-update mechanism.  This allows us to quickly supply you with updates and program fixes without you having to install patches yourself from CD.

This service is free to all users holding annual software support contracts.  You will not be able to receive updates without a support contract.

This page describes updates/fixes that have been made with each new version.  Your current Docman 'system', version is shown at the bottom of the Administration Module screen

Please note, PCTI record when you download a software update. This information is used to check that you have a current maintenance contract and to update our records for the purposes of technical support.

Docman 7 updates

Version updates are available from the Docman 7 Admin module.  You may check for a new version at any time, download it and choose to install it at a later date. 

In order to install an update:

All users must be logged out of Docman. 

If running the GPASS clinical system, all users must close this down too (otherwise it will not be possible to update the 'Docman tab' within GPASS.

Disable any on-access virus scanning software before running in updates.  You may turn this back on once the update is complete.

Change - Introduction of iWorkflow.  iWorkflow replaces the existing workflow mechanism in Docman by providing action based auto-routing.  Form layout altered to provide the most effective use of space and improved speed of operation.

Change - Client (Batch Manager).  Changes to filing xml for EMIS (LV and PCS) allow a read code to be filed along with the attachment so that it searchable for reporting purposes.  This read code is in addition to the existing "EMISATTACHMENT" entry which is automatically added by default.
Change - Client.  Due to instances of non-compatible emis api's being registered on practice systems, Docman will now auto-register the correct api when a connection to EMIS fails.  On repeated failure, the user is presented with a retry/cancel button.  Applies to LV and PCS.
Change - Scheduler (EDT).  Changes to extract html embedded in SCI Store XML for the purposes of lab results collection.  Applies to sites in Scotland only.
Change - Client (Docman Export).  Archive/Unarchive routine saves and restores audit information.  Applies to sites in Scotland only.
Change - Client (Client).  Toolbar and Clinical System button disabled for EMIS (LV and PCS) sites running in a terminal server session.  Will avoids confusion for users of Docman via "remote app" functionality in Windows 2008 Server.
Change - Help Browser (Client).  Added updated training videos for Docman EDT.
   
Fix - DSM.  Corrected error created when processing system messages for site descriptions that included an ampersand character.
Fix - Admin (Helpdesk).  Corrected socket licensing error when using the EMIS API tester.
Fix - Client.  Removed check for local "eaccess" folder when using "existing documents" function as no longer required by latest versions of EMIS API.
Fix - Client.  Corrected issue with audit trail being updated with incorrect stamp annotation information since 240.
Fix - Client.  Error when loading MRU list in a different section.

Change - Client (Workflow/Viewer/Batch Manager).  Most Recently Used (MRU) list recorded on a per user basis for the last 10 items (i.e. patients/documents) dealt with.

Change - Scheduler (EDT).   Remote deployment of Scheduler and EDT configuration via system messaging.
Change - Scheduler (EDT).  Update to SCI Labs reports collection so that abnormal results are flagged and highlighted in batch manager.  These items will appear at the top of the list in batch manager.  Applies to sites in Scotland only.
Change - Scheduler (EDT).  Update to SCI Labs reports collection in order to allow different practices with the same ISD code to collect their own results. Match is now made on the ISD code and optionally the local lab identifier.  Applies to sites in Scotland only.
Change - Scheduler (EDT).  Update to SCI Labs reports collection to include event date for update/amend processing.
Change - Scheduler (EDT).  Update to SCI Labs report stylesheet to handle combined measurement and interpretation report styles.  Stylesheet version 1.03.  Applies to sites in Scotland only
Change - Batch Manager (EDT).  Auto file notification summary sheets are now entitled "xxx - Auto File Notification".  The batch description is also changed to "EDT Auto Filed"
Change - Help.  Updated online help documentation.
Change - Admin (API).  SCI Store patient synchronisation.  Only applicable to secondary care organisations in Scotland.
Change - Admin (API).  New options allowing Vision users to enable and disable the post document filing Vision dialog and preferred event date/filing date configuration.
Change - Admin.  Change to wording when all update servers are off-line.

Fix - Client.  When refreshing the active workflow count on the main menu, of the the menu was minimized to the system tray an error 91 was raised.  This has been corrected.
Fix - Client (Summarising).  Corrected problem whereby update button wasn't being enabled having manually added a date rather than selecting from calendar.
Fix - Client (Batch Manger).  Additional check for popup closure when filing to Synergy.
Fix - Client (Batch Manager).  Check for user switching PC's when using a terminal server sessions mid way through the filing process.  If user has not closed the session properly, the document about to be filed could conceivably change when accessed from the another workstation if logged in as the same user.
Fix - Client (Batch Manager).  Corrected slow filing issue at Synergy branch sites.
Fix - Scheduler (Messaging).  Fix issue caused by NHS Mail outbound security preventing sending of messages via an NHS Mail account.

Change - Client (Existing Docs).  Workaround to bypass an issue with EMIS LV server side post release of EMIS LV api 2.1b.  EMIS created documents (eg. Word documents) are not being presented back to the LV API and therefore inaccessible to Docman.  The workaround attempts to retrieve these documents using an alternative pending a permanent fix by EMIS.

Change - Client (Viewer/Workflow).  When clicking on the clinical system button to show the Docman patient in EMIS PCS, the loaded patient id is checked to ensure that the call has worked.  If not, it will retry 2 times.  If it still cannot get PCS to show the correct patient, the user has the option to retry or cancel.
Change - Scheduler (EDT).   Update to SCI Labs reports collection to handle both measurement and interpretation report styles.  Stylesheet version 1.02.  Applies to sites in Scotland only.
Change - Help.  Updated online help documentation.
   
Fix - Reports.  Corrected automation error when accessing reports (already fixed in release version of 238, replicated here to capture UAT sites)

Change - Scheduler (EDT).   New SCI Store provider added to EDT which allows collection of lab result reports from the local SCI Store.  Applies to sites in Scotland only.
Change - API (EMIS LV).  Latest version of the EMIS API (2.1b) for LV is distributed with this version.  Build number: 2009.1.9.1210

Change - Scheduler.  By default, the Scheduler application will run locally on EMIS LV & PCS sites (excludes Scotland).  Required since the EMIS backup terminates network processes causing the scheduler to crash if launched from a network drive.
Change - General.  This update contains the Microsoft .Net 2.0 framework runtime installer.  This is not installed by 71238 merely downloaded into the \misc directory in readiness for client deployment in the next version.
Change - General.  The PCTI support number has changed to 0844 967 0967.  All references to the old 0870 number have been replaced.
Change - Client (Batch Manager/Read Code Browser).  When filing read codes along with the document in Vision, the "Term ID" is supplied with the read code (as per summarising)  so that the descriptions in both systems match.  The warning message that was previously displayed on choosing an alternative term has also been removed.  Applies to Vision sites only.
Client - Client (Batch Manager).  Allow document comments to be added when adding to a workflow batch.
Change - General.  All temp files are prefixed with "dme7_" so that they they can be identified and deleted on Docman logoff/login.
Change - Active Workflow Count on the main menu is updated when returning from the workflow screen even if the 'perform a workflow and messages check every x minutes' option is not set.
   
Fix - In previous versions, if the 'perform a workflow and messages check every x minutes' option is set, each time the check was made, the main menu would bring the Docman main menu into focus.  This has been changed so that the count is only updated when the user actually switches back to Docman.
Fix - Client (Document Export).  Scottish sites with non-API'd clinical integration now get the same layout/defaults as GPASS, PCS, Vision.   Applies to selected sites in Scotland only.
Fix - Client (Batch Manger).  When filing to Synergy. the clinical application is identified correctly (by window handle rather than name) if the document isn't workflowed at the same time.
Fix - Client (Workflow).  When summarising into PCS, the 'significance' drop down list was previously disabled unless a problem was selected.  This meant that each read code filed to PCS was regarded as significant.  This has been corrected and a new "none" entry has been added to the significance drop down list.
Fix - Client (Maintain Lists).  The new option added in 71237 allowing disabled of auto-expansion of document folders did not work as designed.  This has been corrected.
Fix - Client (Batch Manager).  An 'overflow' error has been corrected when filing documents larger than 33mb since the introduction of the filing threshold in 71237.
Fix - Client (Menu).  Corrected an intermittent issue when logging support calls prevented typing on first loading the screen.  Applies to sites supported by PCTI only.
Fix - Update.  The update program now force closes the admin program if left running having started the update process.
Fix - Client (Batch Manager).  On removing pages from 'batches' the entire batch is compacted reducing the overall file size of the last filed document in the batch.

 

Version Notes:

 

Due to issuing of new a API, all EMIS LV users should update to this version as soon as possible.  This version also provides facility for EDT users in Scotland to collect lab results direct from their local SCI Store.

Change - DSM.  A new application called 'Docman System Monitor' has been added which runs on the Docman database server and ensures the smooth running of the system.  Three 'monitors' are included in the first version.  One to ensure that Auto-backup is running, For EDT users, one to monitor the Scheduler and finally one to process system messages (maintenance renewals, licensing, support message updates).

Change - Admin.  New administration menu provides a clean interface with sub menu's.  Frequently used options are shown as 'shortcuts' from the main menu whilst less used options are stored in the appropriate sub menu.  Layout is similar to the vista control panel layout.

Change - Admin (Updates).  Updates can now be scheduled to download overnight after the autobackup process or not. If not, the check is still made for updates but the user must download them manually via the option on the admin menu (unless set to 'don't check').  By default, all multi site installations will have this option turned off, everyone else will have this feature enabled.

Change - Client (Setup).  Running the Docman client for the first time prompts for a workstation description and whether or not the machine is a scanning workstation or not.

Change - Client (Maintain Lists).  Added a new reporting option on the user form in Maintain Lists for user based auditing.  It is now possible to report Document, Deletion and User Access activity based on a user id.  The report is produced in collapsible html.

Change - General.  Added enhanced system message processing allowing remote deployment of configuration/settings (Eg. EDT configuration).

Change - Client (Batch Manager).  On filing, every file is checked against two new system settings for maximum page size (tifs only) and maximum file size (all documents).  This is indented to prevent users configuring new scanners and leaving the default image type as "24-bit colour" resulting in unnecessarily large files being stored in Docman.
Change - Client (Viewer).  Search enabled for non-patient sections.

Change - Client (Menu).  NHS Mail link updated to new NHS Mail web site.  NHS Mail now opens in a new window rather than within Docman so that attachment downloading is possible.

Change - BC.  Added viewer for synchronisation log

Change - Admin.  Updated default read code list

Change - Update. Null characters are removed from html sequences as they are applied by the update program.  Previously this only happened if triggered by the version sql update script.

Change - Update.  The update sites list has been decoupled from the application and distributed by means of an xml configuration file.  In future, it will not be necessary to change the Admin program when we introduce or change update servers (see 71234 update).  The update list is checked against the most recent version prior to downloading any updates including re-downloading itself should the place it was obtained from is no longer a preferred site.
Change - Client (Filing).  Timing to filing to the Synergy API to account for PDS popup's during the filing process.  A registry setting can be added to HKLM in order to increase the window closure delay from 2s.
Change - Client (Existing Documents).  Save screen position of window.

Change - Scheduler (EDT).  Change the default and test settings for NHS Mail.

Change - Client (Existing Documents).  Pulls additional document description from the EMIS PCS api where the original document was filed with Apollo.  There is a known issue with the EMIS LV api which does not return this data (awaiting fix from EMIS)

Change - Client (Audit).  On filing a tif, the number of pages is appended to the "Added" record in the audit trail eg "Added (2 pages)"

Change - System.  It is now possible to switch a system into "Read Only" mode which allows access to documents but prevents users from making changes.  This will be used to prevent updates whilst a system migration or back scanning project is in progress.

Change - Admin (Helpdesk).  Option to re-layout the Patient section post 669 or SAWF upgrade.

Change - Admin (Restore).  In the event the it is necessary to restore a database from a backup, any documents held in the batch folder will be re-imported.  Note that It will still be necessary to run a Document Check in order to identify changes to the main document structure.

Change - Client (Viewer).  Ability to drag and drop documents between folders.  Action recorded in audit trail.

Change - Client (Summariser).  When viewing EMIS medical history, the data is shown in chronological order rather than the order it is supplied by the EMIS API.

Change - Client.  If Docman is minimised to the system tray, running the shortcut from the desktop opens the existing instance rather than another copy of the client.

Change - Client.  When closing the client, the user is asked if they want to close and logout or minimise to the system tray.  The users default choice can be saved.

Change - System.  Outbound system messages (version acknowledgements) are now queued if initial send failed due to web service being unavailable or busy.

Change - Client (Maintain Lists).  When making a user inactive, any active workflows must be first re-routed before status can be set.

Change - Admin (Autobackup).  Several additional data tables have been added to the Docman control database and therefore it is necessary to include it in the database backup process.

Change - Admin (Patient Sync).  If the EMIS LV api returns patient id's with leading zero's these are skipped.  They are reported to the user at the end of a manual patient sync.

Change - Scheduler (EDT).  Add additional file checks to Docman add document routine for Ascribe lab document import.

Change - Client (Patient Search).  Preview (F2) added to the search screen.

Change - Client (Workflow).  The option 're-route and comment when marking as seen' is ticked by default.

Change - Client (Audit trail).  The 'group by user' is no longer ticked by default.

Change - Client (Maintenance Expiry Warning).  A grace period has been added to suppress the warning message where a trust is paying for multiple practices.  This also allows practices to access updates outside of their expired maintenance period.

Change - Admin.  New activate-able option to allow central change of the database servers IP address.

Change - Client (Viewer/Workflow).  When clicking on the clinical system button to show the Docman patient in EMIS LV, the loaded patient id is checked to ensure that the call has worked.  If not, it will retry 2 times.  If it still cannot get LV to show the correct patient, the user has the option to retry or cancel.

Change - General.  Support for IE8 (release version) across remaining Docman applications that weren't updated in 71233 when IE8 was still in beta (reports,  scheduler, BC).

Change - Update.  Changed the way in which the EMIS API is replaced in order to make the update process smoother.

Change - Admin (Data Check).  Only one database repair attempt is allowed without exiting and re-starting the admin program.  A warning message indicates that multiple database repairs on damaged tables could result in more serious data loss and should be dealt with by PCTI technical support.

Change - Admin (Patient Sync).  EMIS LV/PCS users can now get usual and registered GP when synchronising patients.  However, since the additional calls to the EMIS API slows down the overall process significantly, the default setting is off.  It can be overridden by the setting 'INC_USGP_REGGP = Y/N'

Change - Client (Batch Manager).  When processing an EDT document, an audit entry is recorded to indicate if an auto patient match was made or not.

Change - General.  Added initial support for the new EMIS Web API.  Full support will be added in a later version once the api is in release form.

Change - BC (Client).  Option to to exclude low priority read codes from the current view.

Change - Client (Docman Export).  Several changes made specifically for Scottish sites including mandatory file archiving, un-archive of previously archived documents and a "supported document type" check.  A new screen layout has been designed to make the process easier to use and understand for new users.

Change - Service Control Manager.  Auto-updates the machine name against in the windows service if the host machine name changes.  Applies to users of the service based auto backup mechanism.

Change - Lightweight Viewer.  Added print and email functionality (with hotkeys).  Also added a hotkey to the main document viewer which performs the same functionality as the toolbar 'show documents' button. The viewer is also now visible in the task bar making it easier to switch between applications.  The lightweight viewer is generally used by EMIS branch sites or those that have had a data conversion/merge which prevents opening of the document in Docman without the use of the Docman toolbar.

Change - Client.  PCTI supported customers are notified of an updated support message on the main menu.

Change - Update.  Added support for font distribution.
Change - Update.  Added support for database engine update.

Change - Client (Workflow).  Updated audit trail text to better describe the chain of events when re-routing a workflow.
Change - Client (Workflow).  Only users with permission to workflow appear in the list of workflow recipients when creating or re-routing workflows.

Change - Client (Maintain Lists).  New option on 'document only' sections to disable auto expansion of document folders.

Change - Scheduler (EDT).  "EDT Only" option to pass-thru document collections in xml format (for use by Microtest EDT sites).
   

Fix - Client (Viewer).  When viewing a document on a terminal server client, if the first document in the list was smaller than subsequent documents, the scroll bar did not appear on the larger documents.

Fix - Client (Viewer).  When viewing a document on a terminal server client, if if view was 'Best Fit' the first document in the list was smaller than subsequent documents, the scroll bar did not appear on the larger documents.

Fix - Client (Viewer).  When displaying a tif, right clicking on the image toolbar and then right clicking on the open popup menu, an error 'Popup menu is already expanded' error is generated.

Fix - Client (Viewer).  On a terminal services client, clicking the annotations menu twice brings up the 'Terminal Session' scroll bar as well as the scroll bar from the tif control and the image is set to a view/zoom that requires a scroll.
Fix - Client (Filing).  When filing to Vision, the filing date is recorded in consultation manager rather than the Docman event date.  The history and attachment dates will remain as the Docman event date.  This change was made at the request of INPS. 

Fix - Update.  The update now checks each site on an install to determine if any scheduled tasks are set up. If so, the Scheduler will always be re-opened post update. Previously it would only reopen if it was running prior to the update.

Fix - Admin (Document Search and Move).  Correct error whereby an 'element not found' error was generated when populating the folder list.

Fix - Upgrade (669-7).  If a user description in 669 was present, this is added to the user description in v7.

Change - Update.  Updates will auto-continue if the verification stage passes without issue reducing the amount of interaction a user has with the update process once begun.

Fix - Update.  If the update program failed to shut down the autobackup or scheduler programs, the verify stage will fail.  This was due to not enough time being given to the applications to close themselves.  The timing has been increased to accommodate and the progress on-screen explains what is happening.

Fix - Admin (SBAB / Autobackup).  In situations where all sites of a multi-site implementation were 'shutdown', SBAB or Autobackup would not start - this has been corrected.

Fix - Update.  When checking file versions, if the checked file was not present in the update, no version information was displayed.  This has been replaced with the version information of the checked file.

Fix - Admin (Patient Sync).  EMIS LV/PCS patient status changed from 0-10 to 1-10

Fix - Client (Batch Manager).  When adding a comment during filing, it was possible to add an actionable comment even if the document wasn't workflowed.  This has been prevented.

Fix - Client (Maintain Lists).  When modifying user permissions, ensure that 'maintain lists' is also selected when adding the 'modify users' option.

Fix - Client (Workflow).  When re-routing a completed workflow, the document status is now updated to show it is back in the workflow system.

Fix - Client.  The system tray popup message which notifies users of workflows and messages now auto closes itself so as not to hog unnecessary resource on terminal services.

Fix - Client (SCI Gateway).  Colons removed from document description prior to being added to SCI Gateway (applies to Scotland only)

Fix - Scheduler (EDT).  Tiff printer now visible when configuring an profile collecting from an EDT Server.

Fix - Client (Summariser).  No longer possible to file a read code with a future event date.

Fix - Client (Toolbar).  Corrected 'Failed to retrieve active workbook from Excel' error which would occur when multiple workbooks were open in Excel and the user chose from the selection list.

Fix - Client (Workflow).  Prevent adding of comments to a workflow where the underlying document has been deleted.

Fix - Admin.  Reset validation rules of a currently selected item when moving between items in the list

Fix - Client (Multi Site).  Prevent logging in to a previously decommissioned site (mainly applies to INPS VES sites)

Change - Admin.  Replaces the default update server due to ISP moving ftp site to a different platform mid-August 2009.   71235 will introduce an independent update site list so future changes to ISP platform won't require application patching.

Very small update with no other functional changes.  Users should move to this version as soon as possible to prevent slow downloads of the large 71237 update which will be made available soon.

Change - Admin.  All EMIS PCS sites (excluding those in Scotland) require a new EMIS API file (em_pacc.dll 2.1b) in order to work with the latest server changes being rolled out by EMIS.  The new API has meant changes to the way in which the integration between Docman and PCS is initialised.  This update is necessary for all PCS sites from 2/3/09.

Change - Admin.  From 2.1b, all EMIS PCS sites must have their PCS database name entered in uppercase in order to connect via 2.1b API.  The initialise routine has been altered to force upper case on connection in order to accommodate this change.

Change - Admin.  Patient lookup file for Intellisense is generated based on Intellisense being licensed rather than a particular API enabled allowing non-API sites to use Intellisense for Patient Matching.

Change - Admin.  Optimised creation of Patient lookup file for Intellisense in order to reduced time of overnight process on Intellisense enabled sites.
Change - Admin.  Error entries older than 60 days are cleared from the log during auto backup process.  The retention value may be altered via a setting or set to 0 for retain indefinitely.
Change - Admin.  New option added for EMIS sites that have merged, both previously having had Docman 7.  The system option FORCE_LW_VIEW should be set to Y which forces use of the Light Weight Viewer (in place of the regular Docman Viewer), irrespective of connection speed to the Docman server.
Change - Client (Batch Manager).  User is prevented from manually importing from batch folder.  Documents should be placed in the drop folder subdirectory instead.
Change - Client.  Critical updates are notified on the menu menu via different wording and a different icon to regular priority updates.

Fix - Admin.  Modified routine to handle the re-start of shutdown sites following issues with backup.
Fix - Help Browser.  Prior to downloading new video's a ping test was used on a public web site in order to check if machine had internet availability.  If no response was received, download wasn't attempted.  This pre-download test has been removed and the download process handles no-internet timeouts appropriately.
Fix - Admin.  Correct issue whereby system messages were not being processed by the last site in a multi site environment.

Fix - Admin.  Corrected date formatting in list when showing restorable backup's

Fix - Update (BC).  Update wont display error for BC enabled sites where a BC update script doesn't exist.

Change - EDT.  The component used to collect from an EDT Server is now self updating.  Beyond this version it will not be included in DM update packages.  On detection of an updated "EDT interop", the Admin module will download the new version, install it and restart the scheduler before continuing with document collection.
Change - Client (Workflow).  When mark as seen "on behalf of" another user, the text displayed in the "Workflow Route and User Comments" pane now indicates the user who performed the action without having to view the audit trail.
Change - Client (Workflow).  New right click, "copy comment" option for comments within the in the "Workflow Route and User Comments" pane.

Change - Client (Workflow).  If attempting to remove the user document is currently with that user (including when user is part of a broadcast workflow), a dialog advises action is not possible and "mark as seen" will be used instead.

Change - Client (Export).  Buttons on the export form are now tab-able (tab order revised).

Change - Scheduler (EDT).  Server ID now stored against original document ID to differentiate between documents being collected from multiple EDT Servers by a single practice.  The server ID is also shown on the the EDT Tag pane in Batch Manager.
Change - BC.  Synchronisation process improved to handle disconnecting NAS devices.

Change - Client (API).  Add document routine checks for pre-existing files in batch manager file location with same name and changes name of the new filed document to accommodate.

Change - Admin.  Optimised creation of patient lookup file for Intellisense.  This file is generated each night during the auto backup sequence and therefore reduces the overall time taken to complete.
   

Fix - Client (Workflow).  If user receives a document whilst re-routing a document (chosen the re-route option rather than re-routing as part of mark as seen), when the list is refreshed, the list is repositioned to the one being worked on previously.

Fix - Admin.  Read code synchronisation correctly updates the percentage bar and max values during processing.

Fix - Admin / Client.  Main menu hyperlinks updated to cope with change to IE8 RC1 web browser control.  This 'workaround' is not intended to indicate support for IE8 at this stage, it simply allows users to access Docman should they have installed IE8 RC1.  A future version will fully support IE8 once we know how the component will eventually work.

Fix - Client.  The pre-defined clinical entry is now cleared when applying a filing template without a clinical entry over a one that had one attached.

Fix - API (LV/PCS).  Change to handling of successful outcome of Initialize routine when connecting to LV or PCS
